Online Notarization Process

Unlike the traditional notarization process, the online notarization process is significantly different and requires a more vigorous identity validation process using the following process:

  1. In the online notarization process signer usually, contact a notary who is approved for the online notarization by the state government to request for RON (Remote Online Notarization) service.
  2. Once the appointment time is decided the signer(s)’ document(s) needs to be converted in electronic formate via scanning or taking photographs and converting it in the PDF format and send it to Online Notary for review. Once the document(s) is/are approved it will be uploaded the documents to the SIGNiX online secured platform for notarization.
  3. Once the document(s) are ready in the SIGNiX platform, the system will send out the secured session link with the appointment time for signing along with the payment invoice using PayPal for notary service and ID verification fees.
  4. During the online session with the Notary, every signer individually uploads the photos of their State issued ID/Driver’s license along with the close-up photo of all signers and witnesses to the Notary’s online SIGNiX platform
  5. Each Signer will be screened electronically according to the requirements of state laws and the notary’s commissioning state on the notary’s online platform. This screening process is performed by the third party using the highest security and encryption standards. This entire process remains confidential to the signer only and cannot be viewed by the Online Notary
  6. The identity verification process is also known as Knowledge-Based Authorization (a.k.a. KBA) or Credential Analysis, which includes the questions based on an individual’s personal and credit history that is only known to the signer(s).
  7. During the online notarization process, everybody communicated online only using secured recordable audio-video technology, and SIGNiX uses secure recordable ZOOM meeting connections.
  8. In this entire online process, the notary and signer(s) do not meet face-to-face, but during a secured online session the online notary MUST able to see CLEARLY and confirm the Identities of ALL signer(s) via their webcam.
  9. Once the signer(s)’ identity has been verified and other requirements for online notarization completed both signer(s) and Online Notary must sign the documents electronically and finally Notary will also attach his digital Seal to document(s).
  10. This entire process of the online notarization must be recorded (audio and video communication) by laws and is store in the third-party’s online notarization platform.
  11. At the end of the process, Notary will record the transaction in his/her notary journal and secure and encrypt the audio-video recording of the notarization session.
  12. Once the entire process is accomplished, online notarized document(s) is/are returned to the signer via email directly from the SIGNiX secured platform.
